1. PREAMBLE
This paper has been prepared to provide guidelines for evaluation of concept notes submitted by candidates for higher degrees by research (MPhil/DPhil) of the Chinhoyi University of Technology. These guidelines are for the benefit of candidates, Supervisors, Departments and Schools/Institutes. These guidelines should be read in conjunction with the Guidelines and Procedures for Higher Degrees of the Chinhoyi University of Technology.
The evaluation of concept notes for MPhil/DPhil is a triple-stage process. The Departmental Board evaluates the concept notes and makes recommendations to the School Higher Degrees Committee. The School Higher Degrees Committee makes recommendations to the School Board. The School Board makes recommendations to the Senate Executive Committee.
2. COMPOSITION OF DEPARTMENTAL BOARD
The composition of the Departmental Board is as given by the School/Department Ordinance. For the purposes of evaluation of MPhil/DPhil concept notes, and where the Departmental Board lacks expertise in certain areas, it is permissible for Departments to invite or seek opinion of external experts. Where this is the case, the academic credentials of such experts shall be made available to the School Higher Degrees Committee and Senate Executive Committee. Senate Executive Committee makes final determination, on behalf of Senate, on applications for admission into higher degrees by research programmes of the University.
3. STRUCTURE OF THE CONCEPT NOTE
Before a candidate develops a concept note, he/she shall engage in an academic conversation with the relevant Department for the purpose of discussing the research idea. Thereafter and where the Department sees scope to merit an MPhil or DPhil, the research idea shall then be transformed into a concept note. The structure of the concept note shall be as follows:

1. Introduction |

1.1 Background |
∙ Introduces the subject covered by the research |
|
and highlights the context of the research. |
1.2 Statement of the problem |
∙ Defines the quality, quantity and distribution of |
|
the problem. Completely analyses the problem. |
|
Sources of the research problem could be from |
|
personal experience, reviewed literature, |
|
deductions from theory, other people’s opinions |
or logic. |

1.3 Justification of the study |
∙ States why it is important to carry out the study. |
|
|
Highlights the relevance of the study. Explains |
|
|
why it is important to solve the stated problem. |
|
1.4 Objectives |
∙ These should not be too many. Generally follow |
|
|
the SMART model. They are strongly related to |
|
|
the problem. Research questions should |
|
|
accompany the objectives. Hypotheses can also |
|
|
be stated. |
2. |
Review of Literature |
∙ Covers, in an abridged form, state-of-the-art in |
|
|
the discipline. Should cover the fundamental |
|
|
issues, preferably from sources that are not |
|
|
more than five years old. The review should be |
|
|
topical, current and should not be confined to |
|
|
Internet sources only. |

Methodology |
∙ Should demonstrate the relevant methodologies |
|
|
to attain the stated objectives. In most cases |
|
|
these are discipline-specific. |
4. |
Work Plan |
∙ Shows timelines and major activities that will |
|
|
lead to the attainment of research objectives. |
|
|
Briefly shows what will be done in each |
|
|
academic year. |
5. |
Budget |
∙ Summarises the cost of inputs that are necessary |
|
|
to carry out the research activities. |
6. |
References |
∙ Should be given using the Harvard style. |

4.EVALUATION CRITERIA
The following criteria should be used to evaluate the concept notes:

Descriptors
∙Is the research project in line with the Department’s research themes and the overall University research goals? How relevant is the research project to societal problems?
∙Is there sufficient scope to merit an MPhil or DPhil?
∙How well is the research problem articulated? What is the strength of the literature reviewed? Is there clarity of objectives and soundness of methodology? Are appropriate data analyses being proposed? Is it feasible for the proposed work to be done within the stipulated time?
∙Does the candidate have suitable and relevant pre- requisite qualifications? Does the candidate’s academic profile show evidence of aptitude to carry out the study? Is there symmetry in the candidate’s prior areas of study and the proposed area of study?
∙Are the proposed supervisors appropriate for the study area? Possession of a PhD by each supervisor in a relevant area is a requirement. All proposed supervisors should be duly appointed by the University.
∙What are the sources of funding for the project? How much is available and is it adequate for the research? Are there any specific pre-conditions set by the funder? What is covered by the fund?
∙Are the resources and facilities required for the research project available? If not, are there any feasible alternative arrangements?
